Key takeaways
- Download statements from Statements in AlignPay, or Export on the Transactions page: choose one account or all of them, a period, and PDF or CSV for Excel.
- Each thing you did is one line in dollars or euros, with its date, description, amount, currency, exchange rate, status and reference. Fees and refunds have lines of their own.
- Incoming bank payments show who sent them and the reference they wrote, so you can match them to your invoices.
- Give your accountant the Viewer role: they can see everything and download statements, but can't pay.
The short answer
In AlignPay, open Statements, or press Export on the Transactions page. Choose an account, or all accounts, a period, and a format: PDF to send, or CSV for Excel and your accounting software. Each movement is one line in plain words, in dollars or euros, with fees, exchanges and refunds broken out, so it can be matched line for line with your books.
What's on a statement
| Column | What it holds |
|---|---|
| Date | When the movement happened |
| Description | What happened, in plain words, such as "EUR deposit · Acme GmbH" or "Platform fee" |
| Amount | In the line's currency |
| Currency | USD, EUR, or a bank balance's own currency |
| FX rate | The rate, where a currency changed |
| Status | Completed, Refunded and so on |
| Reference | The payment's reference |
The CSV file starts with the account holder, the period and when it was generated. A very long period may be cut short, and the file says so; narrow the period to cover older activity.
How movements are booked
- Money in. A bank payment received shows the payer's name, as their bank sent it, and on the payment's page the reference they wrote and their own payment ID, each copyable.
- Money out. A bank payment shows the recipient. A payment to a wallet reads "Sent to a crypto wallet", and the transaction hash is on its page as proof.
- Fees. Platform fees and exchange fees are lines of their own, never hidden in an amount.
- Exchanges. A USD to EUR exchange is a debit, a credit and a fee.
- Refunds. A payment that came back keeps its original line, marked Refunded, plus a credit for the refund.
- Payments nobody approved don't appear: a quote that was never signed is cleared within a day. Earn has its own statement on the Earn page.
A monthly close routine
- Download the month's CSV for each account, or for all accounts.
- Match money in to invoices. Payments that name the invoice number and pay the exact amount are already marked paid on the Invoices page; see creating and sending invoices.
- Match money out to bills. Bills paid through AlignPay are linked to their payments on the Bills page; see paying supplier bills.
- Book fees and exchanges from their own lines.
- Check anything In review: a payment held for documents is still waiting to be released. See payments in review.
- Keep the documents: invoices, bills and transaction hashes, for your auditor.

Giving your accountant access
Invite your accountant as a Viewer in Settings → Team. A viewer sees balances, transactions, bills, invoices and statements, can download statements, and sees account numbers by their last four digits. They can't pay or send payments for approval. See team roles and payment approvals.
The Statements dialog also has an Account confirmation side, for a proof-of-account letter; see account confirmation letters.

Common questions
- Which formats can I download?
- PDF, for sending to someone, and CSV, which opens in Excel or imports into your accounting software. The CSV has one row per line with Date, Description, Amount, Currency, FX rate, Status and Reference columns.
- Why does a stablecoin payment show in dollars?
- AlignPay books your Global Account activity in its currency: USDC and USDT movements are USD lines, and EURC movements are EUR lines. The token and network are on the payment's own page if you need them.
- How are exchanges between USD and EUR shown?
- As a debit in one currency, a credit in the other, with the rate, and Align's fee as its own line, so each side reconciles against its own account.
- What if a payment I sent was returned?
- The statement keeps the original payment, marked Refunded, and adds a credit for the money that came back, dated when it was refunded.
